About the role:
The Executive Assistant to the CEO will play a crucial role in supporting both the CEO and the senior leadership of the organization. This dynamic position requires someone who excels at managing complex schedules, prioritizing competing demands, and ensuring that the CEO’s time and focus are aligned with the most strategic priorities. In collaboration with the Chief of Staff, you will streamline administrative processes, handle sensitive communications, and coordinate essential Board activities. Job activities include but are not limited to:
Scheduling, Calendar, and Workflow Management (50%)
Maintain and optimize the CEO's complex calendar, scheduling internal and external meetings with efficiency and attention to priorities.
Anticipate conflicts and proactively manage adjustments to ensure the CEO’s time is used effectively.
Proactively manage and prioritize the CEO’s day-to-day workflow, collaborating with the Chief of Staff to ensure that high-impact initiatives are given top priority.
Assist in managing both work and personal priorities, helping to juggle a variety of demands and commitments in a seamless way.
Manage the meeting schedule for leadership team meetings (executive, department, and program leadership teams).
Coordinate all travel arrangements and accommodations.
Communication, Administration, and Operations Support (35%)
Draft and proofread emails, correspondence, and other materials on behalf of the CEO.
Manage the CEO’s contacts; develop systems and leverage technology to organize and update contacts.
Prepare, review, and submit expense reports for the CEO, ensuring compliance with company policies and accurate documentation.
Track and manage reimbursements and payments as needed.
Track and manage signature requests (contracts, acknowledgement letters, compliance documentation, etc.) and maintain an organized record-keeping system to ensure timely completion.
Support the organization’s small office by stocking office supplies and letterhead, directing mail, and ensuring the space is prepared for events and meetings.
Assist in managing and coordinating special projects and strategic initiatives, including the semi-annual all-staff convenings, providing administrative and logistical support as needed.
Plan and coordinate internal and external meetings for the CEO, ensuring all details are flawlessly executed.
Board and Executive Support (15%)
Coordinate and schedule Board of Directors meetings, including reserving venues (virtual or in-person), sending out invitations, and tracking RSVPs.
Serve as the main point of contact for board members and their assistants; provide administrative support as needed.
Coordinate orientation for new Board members, tracking progress along the way.
Assist the Chief of Staff in preparing board meeting materials (agendas, presentations, reports, and minutes).
Maintain historical board documents and ensure records are organized and easily accessible
Manage or support annual compliance tasks such as conflict of interest form collection, board bios, and rosters.
Other duties may be assigned as needed.
Essential qualifications:
Proven experience as an Executive Assistant or in a similar senior administrative role supporting C-level executives.
Exceptional organizational and time-management skills with the ability to prioritize and multitask effectively.
Excellent written and verbal communication skills, including the ability to craft professional correspondence.
High level of discretion, integrity, and judgment when dealing with confidential and sensitive information.
High level of proficiency in office productivity software (e.g., Google Workspace, Adobe, Microsoft Office Suite) and familiarity with virtual meeting tools (e.g., Zoom, Teams).
Keen interest and strong facility in exploring and adopting new tools and apps for productivity.
Ability to work independently, anticipate needs, and proactively solve problems with minimal supervision.
Strong interpersonal skills and the ability to build relationships with stakeholders at all levels.
Flexibility and adaptability in a dynamic, fast-paced environment.
Bachelor’s degree or equivalent professional experience preferred.
A genuine interest in and commitment to climate communication, sustainability, or related mission-driven work.
Compensation: The salary range for this position is $70,000 to $85,000. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training. Climate Central offers generous benefits including paid vacation, 12 weeks paid family leave, medical, dental, 401K with up to 12% matching, and partial college tuition for children of employees who qualify.
Location and employment eligibility: This is a hybrid position based in Climate Central’s headquarters in Princeton, N.J. This role will be required to be in the office 2-3 days each week. Candidates must be eligible for employment in the United States.
